Quick Answer
Reminder emails for Skills assessment, Survey and Skills audit invites all work the same way, from each content type's own Invites menu - Reminders for Skills assessments, Survey reminders for Surveys, and Skills audit reminders for Skills audits - where an administrator can set a candidate reminder to send once or on a repeat basis, limit it to invites sent within a chosen time window, and use the default system text or write a custom message.
What This Article Helps With
This article explains how to set up reminder emails for Skills assessment, Survey and Skills audit invites. The reminders feature works identically for all three content types, though each has its own settings page. It applies to KnowledgeSmart Principal Administrators and Users & Invites Administrators.
Where to Find Reminder Settings
| Content type | Menu path |
|---|---|
| Skills assessments | Test > Invites > Reminders |
| Surveys | Survey > Invites > Survey reminders |
| Skills audits | Skills > Invites > Skills audit reminders |
How to Set Up Reminder Emails
- Go to the Reminders page for the relevant content type, using the menu path above.
- If you have linked accounts, select Show linked accounts to apply or view settings across them.
- Enter an Email Subject Line, or leave it blank to use the default.
- Enter a custom message in the Your message box, or leave it blank to use the default KnowledgeSmart text. Your message has a maximum of 800 characters; login details and the invite link are appended automatically, so there's no need to include them yourself.
- Check Send candidate reminder email, and use the dropdown to choose how many days after the original invite the reminder is sent.
- Check Repeat if you want the reminder to send more than once, rather than a single time.
- Use the Send reminders for invites sent within the last dropdown to limit reminders to invites sent within a chosen window — for example, 3 months. Invites older than this are not sent a reminder.
- Select Save.
To revert to the default reminder text, delete the custom text from Your message and select Save.
Helpful Tips
- See How to customize a Skills assessment invite email, How to customize a Survey invite email, or How to customize a Skills audit invite email for editing the original invite text, as distinct from a reminder.
- To check who has received an invite or reminder, see Invite history for Skills assessments, Invite history for Surveys, or Invite history for Skills audits.
Common Questions
Does this work the same for Skills assessments, Surveys and Skills audits?
Yes. The settings and behaviour are identical across all three - only the menu path to reach the Reminders page differs.
Can I limit reminders to only recent invites?
Yes. Use the Send reminders for invites sent within the last dropdown to set a window, such as 3 months - invites older than that won't receive a reminder.
I wrote a custom reminder message - how do I go back to the default?
Delete the text from the Your message box and select Save. This reverts the reminder to the default KnowledgeSmart system text.
Is this the same as editing the original invite email?
No. Reminders are a separate, optional follow-up email, configured on their own Reminders page for each content type. The original invite text is set separately - see the relevant "How to customize" article for that content type.
