Quick Answer
External Users are a distinct user type in Pinnacle Series, managed separately from Standard Users under Users External Users in the Admin Portal. External Users can be added manually or imported from a spreadsheet, are counted against a limited number of available External User licenses, and are not automatically included when a Library is shared with all Standard Users, nor included in Microsoft Entra ID Sync.
What This Article Helps With
This article is for Administrators who want to understand what an External User is, how External User content visibility differs from Standard Users, and how to add External Users manually or by spreadsheet import.
What Is an External User?
An External User is a distinct, permission-gated user type, separate from a Standard User. The Administrator permission explicitly includes the ability to create and manage External Users. A tenant has a limited number of External User licenses, shown on the External Users page as Used External Users and Available External Users counts.
How External User Visibility Differs from Standard Users
- A Library shared with All Standard Users (see "Sharing a Library and Managing Access") does not automatically include External Users — an External User needs to be covered by a Group the Library is specifically shared with.
- External Users are excluded from Microsoft Entra ID Sync.
Add an External User Manually
- Open Users.
- Select External Users.
-
Select the Add User icon, then select Add User (or, if no External Users exist yet, select Add Users Manually).
- In the Add External User window, enter the Full Name. This field is required.
- Enter the Email. This field is required.
- Select Set Expiration Date if you want this External User's access to expire automatically, and choose the date.
-
Select Add User.
Confirm the new External User appears on the External Users page, and that your Used External Users count has increased by one.
Import External Users from a Spreadsheet
- Open Users.
- Select External Users.
- Select the Add User icon, then select Import Users from Spreadsheet (or, if no External Users exist yet, select Import from Spreadsheet).
-
In the Import External Users from Spreadsheet window, drag and drop your file onto the upload area, or select Browse Files to choose it. Only one file can be uploaded for import at a time.
Confirm the imported External Users appear on the External Users page once the import completes.
Helpful Tips
- If you can't add a new External User, check your Available External Users count - you may have reached your tenant's External User license limit.
- The External Users page shows each user's Status, Groups, Expiration Date, and Manager, in addition to their name and email.
- For adding and managing Standard Users instead, see "Adding and Managing Standard Users in the Pinnacle Series Admin Portal."
