KnowledgeSmart Principal Administrators and Results Administrators.
Common Causes/Issues:
You would like to understand the options available for exporting KnowledgeSmart Skills assessment results data.
Solution Overview:
There are a variety of different places in the KnowledgeSmart platform where Skills assessment results can be viewed and exported to CSV or MS Excel.
Let's review the options.
Results > Data page
You can view your KnowledgeSmart Skills assessment results in the Results > Data area of your dashboard. Use the Results per page dropdown to change the number of results displayed on screen. Use the dropdown menu to view results data (if you have two or more linked accounts).
Click on the score link to view a detailed summary of each test report. The report opens in a new window.
If you just select results using the checkboxes and click the export tool, the expected outcome is to see an export with just the highlighted results included. But it doesn't work that way. What happens instead is that ALL results for the account are exported.
The export is not impacted by just selecting the check boxes. You need to create a group of the results first, then select the 'Export results to CSV' tool.
It works like this:
Select the results you want to export using the checkboxes. Click the 'Show groups' link. Enter a group name in the 'Create New Group' field and click 'Create'.
Select your new group in the dropdown and your subset of results will display on screen.
Now select the 'Export results to CSV' tool and you will see the correct data exported.
If you want to export results from a Dynamic group, select the 'Show dynamic groups' link and choose the relevant group entry from the dropdown.
Then choose 'Results' in the Dynamic group results export dropdown and click 'Export'.
This will export the data from your Dynamic group to CSV.
Home page
The Query Builder function provides a comprehensive tool for analyzing the data within your account, organizing it with the structure you want. There are several default queries and you have the option to create your own.
In the above screenshot the active query is shown in the box at top left. The columns and rows in the main window are responsive and change with the query selection.
Use the dropdown to show the list of available queries. Queries are ordered alphabetically.
The first icon on the left creates a new query. The pencil icon allows editing of the active query. The third icon along is for copying the active query. The last icon downloads the query data to a .csv or MS Excel file.
Select which account the query applies to (if you have more than one). The default value is to include all accounts.
When creating a new query, you have the choice of all the data fields shown below.
Filters can be applied to the raw data to extract precise values and create sub-groups of your data.
When starting to use the Query Builder we recommend copying and editing some of the default queries. This will give you a good insight in how to construct a valid query.
