Quick Answer
Auto-Assignments are created from Assignments Auto-Assignments in the Pinnacle Series Admin Portal by selecting Assign New and choosing Content or Assessment. Each Auto-Assignment applies to one Group and assigns a single Learning Path, Course, or Assessment, and the assignment is created only when a user is newly added to that Group - it does not retroactively assign to users who are already members.
What This Article Helps With
This article is for Admins who want to automatically assign a Learning Path, Course, or Assessment to users as they're added to a specific Group, instead of assigning it to each user manually.
Open Auto-Assignments
- Open Assignments.
- Select Auto-Assignments.
Confirm the Auto-Assignments page opens, listing existing auto-assignments by Group, Content Type, Content Title, and Assignors. If none have been created yet, this page shows No auto assignments instead.
Create a Content Auto-Assignment
- On the Auto-Assignments page, select Assign New (or, if no auto-assignments exist yet, select Create New Auto-Assignment).
- Select Content.
- In the New Auto-Assignment window, select Select Group, and choose the Group this auto-assignment applies to.
- Select Exclude users who have previously completed this content if you don't want this auto-assignment to apply to users who have already completed the content.
- In the Content section, select Add New.
- In the Select Content window, search for content using the search field, or narrow the results using the Publisher, Libraries, Topics, Content Type, Duration, Difficulty, or Keywords filters, then select Apply Search & Filter.
- Select the checkbox on the Learning Path or Course you want to assign, then select Select Content. Only one Learning Path or Course can be selected per auto-assignment.
- Select Set a due date for completion if you want to give users a due date, and choose the date.
- In the Assignors section, confirm who is listed - you are added by default. Select Add New to add another Assignor, or the trash icon next to a name to remove one.
- Select Save.
Confirm the new auto-assignment appears on the Auto-Assignments page, with the Group, Content Type, Content Title, and Assignors you selected.
Create an Assessment Auto-Assignment
- On the Auto-Assignments page, select Assign New (or, if no auto-assignments exist yet, select Create New Auto-Assignment).
- Select Assessment.
- In the New Auto-Assignment window, select Select Group, and choose the Group this auto-assignment applies to.
- Select Exclude users who have previously completed this assessment if you don't want this auto-assignment to apply to users who have already completed the assessment.
- Select Select Assessment, and choose the Assessment you want to assign.
- Select Set an expiration date for completion if you want to give users an expiration date, and choose the date.
- Choose an Invitation Template from the dropdown, or keep Default. Select Preview to review the selected template before saving.
- Under Mapped Training, select Automatically assign personalized training when assessment(s) are completed if you want completed assessments to automatically assign their mapped Training Templates. See "How to Map KnowledgeSmart Assessments to Personalized Learning Content in Peak" for how Training Templates are mapped to an Assessment.
- Select Save.
Confirm the new auto-assignment appears on the Auto-Assignments page, with the Group, Content Type, Content Title, and Assignors you selected.
How the Trigger Works
An Auto-Assignment is created for a user only at the moment that user is added to the Group the Auto-Assignment is tied to. Users who were already members of that Group before the Auto-Assignment was created do not receive the assignment retroactively.
Editing an Auto-Assignment's Group, Content, or Assessment
After a Group, piece of Content, or Assessment has been selected in the New Auto-Assignment window, select the pencil icon next to it to change the selection.
Helpful Tips
- The fields in the New Auto-Assignment window depend on whether you selected Content or Assessment - a Content auto-assignment uses Due Date and Assignors, while an Assessment auto-assignment uses Expiration Date, Invitation Template, and Mapped Training instead.
- Use the Search field and Filter dropdown on the Auto-Assignments page to find an existing auto-assignment by Group.
