Quick Answer
To retire Pinnacle Series content without losing learning history or reporting records, move the content into an Archive folder in Content whose Restrictions limit access to the Administrator Group.
What This Article Helps With
This article explains how to set up a restricted Archive folder in Pinnacle Series Content and move retired Courses, documents, videos and other content into the folder. Archived content is hidden from learners, stays available to administrators, and keeps its access, search and completion records in reporting.
How to Set Up a Restricted Archive Folder
- Select Content in the left-hand navigation.
- Create a folder for archived content, if one does not already exist.
- Select the ⋮ (more options) menu on the Archive folder.
- Select Restrictions.
- In the Edit Restrictions window, turn off Content is Available to All Content Managers.
- Under Users & Groups, select Add Groups.
- Add the administrator Group.
- Select Save.
- Confirm that a lock icon now appears on the Archive folder in Content.
How to Move Content into the Archive Folder
- Remove the content from any active Learning Paths or Assignments, if the content is still in use.
- Select the ⋮ (more options) menu on the content you want to retire.
- Select Move.
- Choose the Archive folder as the destination.
- Confirm that the content appears inside the Archive folder and still appears in Reports with its historical records.
Helpful Tips
- Restrict the Archive folder to the administrator Group, not to an individual content manager. If access depends on one person and that person leaves the team, the organization can lose access to the archived content.
- For example, naming the folder ** Archive places the folder at the top of the alphabetical folder list in Content.
- Keep archived content published if Topic, Library and Attribute reporting matters. Unpublished content shows null for those columns in reporting.
Common Questions
Why should the Archive folder be restricted to a Group instead of one person?
Restricting the Archive folder to the administrator Group keeps archived content available to every administrator. Restricting the folder to one content manager risks losing access if that person leaves the team.
Will archived content still appear in reporting?
Yes. Content moved to an Archive folder keeps its content ID, so its access, search and completion records stay available in reporting.
Can I reuse archived content later?
Yes. Archived content stays in Content, so administrators can move the content back into use or repurpose it for new learning.
