This functionality applies to both Usage Reports and Learning Reports.
Saving filtered views, exporting targeted insights, and scheduling alerts can help you amplify engagement tracking and share timely, impactful stories across teams.
Save Custom Views
After applying filters that match your needs - such as date range, library, attributes, or content type - you can save that view for quick re-access later.
- In order to save custom views there needs to be at least one active filter selected.
- Click the bookmark icon at the bottom right of the dashboard.
- Select “Save as new view”.
- Name your view for easy recognition, e.g., “Monthly Engagement - MEP”.
- Once you have clicked save you will see a new area called personal views within the bookmarks area and the right-arrow will take you to your saved views. Click "manage saved views" to delete any saved views.
Tip:
Saved views allow managers across the org to review the same lens - no manual filter replication needed.
Export What Matters
Export full data tables or visualizations to share insights or feed into external dashboards.
- Click the three-dot menu (⋮) on a chart or table.
- Select “Export” and choose your format: Excel, CSV, PDF, PNG, or JSON.
- You can also download underlying data for deep analysis.
- Make sure of filters for more targeted, impactful exports. Note the filter icon on the top right of the chart for a visual indicator of many filters are active on that visualization at this time.
Tips:
- Use Excel exports to pivot by job role, region, or manager - perfect for performance reviews or strategic engagement sessions.
- Keep user permissions in mind. Reporting managers will only be able to export and interact with available filters (as long as the data belongs to their scope).Schedule Alerts & Automated Exports
Manage Report Alerts/Schedules
Keep key stakeholders in the loop by setting up automated report delivery with or without conditions.
- Click the three-dot menu (⋮) and select “Schedule Exports”.
- Choose format, timing, recipients, and optional rules for sending.
- You can create conditions like “Only send if access count drops below 10”.
- When setting up report alerts, especially those that include raw data attachments, be mindful of email file size limits. Large datasets can result in bulky files that may not be delivered successfully via email.
- Carefully consider the format and content when sending report alerts to internal stakeholders. Always ask: Does the recipient need all of this data? Be mindful of data privacy regulations like GDPR - only share what's necessary for their role or decision-making needs.
Tips:
- Use alert rules to monitor compliance drops, team inactivity, or spikes in content interest - without lifting a finger.
- Strategic Nugget: A well-timed export or alert can turn data into dialogue. Use this to fuel performance check-ins, onboarding reviews, and engagement strategy sessions across the business.

Keep user permissions in mind. Reporting managers will only see data for users they directly manage or for groups they own. This visibility also extends to users in any child groups when they are the owner of the parent group.
