Solution Overview:
An overview of feature enhancements made to the KnowledgeSmart test platform between August 2022 and September 2023.
Invite Management Enhancement
- If an invite is re-sent, with this enhancement, we now show the re-sent date in blue and the original date in a rollover.

- This enhancement will make it easier for admins to track and manage assessment invites and quickly isolate invites that have been re-sent.
- We added a new popup panel that captures more details about each invite and any associated re-sends and reminders.
- We have changed the invites export to capture an expanded number of fields. This enhancement offers more flexibility and depth for managing and analyzing your invite history.
- Enhancements to Invites Workflow
- We added a new advisory to the Invites page, to notify admins if they send an invite to an existing user, but accidentally change the status of the user in the new invite.
- Previously, this could affect the level of feedback viewed by the user at the end of an assessment if the wrong status was selected.

- We added a new filter on the Invites > Reminders page (for Skills assessments, Surveys, and Skills audits). This allows admins to decide on the amount of time that invites will continue to be sent.

- We made a change to the logic on the browser login tool. The list of assessments available for selection now includes KS ‘Off the shelf’ content and custom content with a status of ‘Published’. ‘Draft’ assessments no longer displayed in the list of available assessments.
We added a new feature that allows KS admins to copy non-admins on invites and results emails, for skills assessments, general surveys, and skills audits.

- Go to the Settings > System mail page of your KS admin dashboard.

- Scroll down to the light-grey panel at the bottom of the page.
- Add your contacts as ‘(non-admin) email recipients’. Select the relevant system emails that you would like them to be bcc’d on, for example, Invites, Re-sent invites, Reminders, Results, etc.

- Click ‘Insert’ to register your updates. They will display in the ‘non-administrators’ section of the page.

- Next, go to Settings > UI options and check the box labelled, ‘Show bcc on invite’.

- Now, go to the Invites > Invite users page, and you’ll see a new field displayed on screen called, ‘BCC on invite’.

- We added a new option in Settings > System mail which allows Team Managers to be copied on different types of KS email updates. For example, Invites, Reminders, and Results emails.
- Select the relevant team(s) using the checkboxes in the ‘Team name’ column. The associated team manager will be cc’d on the emails selected using the checkboxes in the ‘Manager emails’ section.

- Invites History Group Feature
- We added a ‘groups’ feature to the Tests > Invites > History page, which allows admins to view and export a sub-set of the Invites data.

- To export a sub-set of your Test Invites data, run a search, capture your search results in a new group, then select the ‘Export invite data to CSV’ tool. We will shortly be adding the same grouping option to the General surveys and Skills audits Invites pages.
BCC on Invites
- We made an update to the ‘Bcc on invite’ logic, so that it is now stored against an invite and then any related emails are also bcc’d to those email addresses. The emails covered by this change are:

- Invites mail
- Re-sent invites mail
- Reminder mail

- Completion mail
- Expiry date passes without completion mail
- Results mail
- Re-sent results mail
- Email when ‘No report’ option is set mail
- Manager Profile Page Enhancement - Track Invite History
- We added a new Invites > History area in Manager’s User pages. This allows Team Managers to filter invites by the following status: Not Started, In Progress, Completed, Pending.
- Go to My Teams > Team Assessment Invites
- Use the filter options to view invites with different statuses. Export invites using the ‘Export Invites to Excel’ tool.
We have made the following changes to the logic on the KS custom test invite templates page:
- Removed the ‘Load template’ button – template now loads automatically when the dropdown is changed.
- Removed the ‘Reset page view’ and added an 'Undo' button at the bottom to simplify the existing process.
- Added an ‘Update template’ button at the top – this allows admins to edit existing templates (once selected) and save changes.
- Updated text to clarify ‘Save as new template’.
Results Enhancements
Hide Results on Report
- We added a new feature that allows KS admins to hide score information on Skills assessment reports, on a per-account basis. This setting works for different user types, so admins can decide which types of users can (or cannot) see their Skills assessment scores (and stage score breakdown).
- There are 5 checkboxes on the Test > Settings > Test feedback page. ‘Hide score on report’.

- Admins can choose to hide Skills assessment scores for different user types on a per-account basis.
- In the end, the user can view their report, which does not show an overall score value or individual stage score values:
- If permitted, the user can view question feedback, correct answer choices, coaching notes, and training tags.
- The default options are: ‘Correct’, Partial score’, and ‘Incorrect’.
- The results email received by the user does not show a score value.
- When the user completes their Skills assessment, the overall score will only be visible to account admins on the Results > Data page.
- The feedback labels can be edited on a per-assessment basis, on edit test step 4 (Test settings > Hide score text):
- If the user logs into their personal user page, they will not see a score for their assessment on the ‘My Assessments’ page.
A couple of things to consider:
- If the ‘Hide scores on report’ setting is toggled on, this will hide score data for all results on the account. This includes all existing Skills assessment results and any future results.
- If you want to have a mix of hidden scores and visible scores, this is possible. You can create a linked account for hidden scores and any assessments for which you want to hide the final scores should be taken from that account, with the appropriate settings in place.
- If you toggle off the ‘Hide scores on report’ setting, all results will be visible once more.
Library Enhancements
- New Visual marker in draft questions.
- We added a new visual marker in the draft library area to make it easier to identify which questions and modules are assigned to a test/survey/skills audit at a glance.

- Enhanced search filter.
- We added a new search filter, which displays all questions and modules not used in a test/survey/skills audit.
- We updated the logic on the Accounts > Share content pages for Skills assessments, general surveys, and Skills audits.
- It is now possible to share content in all three areas of operation with both parent-child and sibling accounts.
- Enhancement to Library Editing Workflow
- We added the question ID and module ID to the summary panel, which displays when you are editing library content (for skills assessments, general surveys, and skills audits).
- New Library Export Feature
- We added a new library export feature, so admins can easily export a list of ‘Off the Shelf’ (OTS), Published and Draft content, across individual or linked accounts.
- Look for the ‘Export to Excel’ tool, at the top of all library pages.

- Library Enhancement - Sum Total of Assigned Questions
- We added a new sum total for ‘Assigned questions’ on the Draft content > Draft test > Step 3 (Configure your test) page. This allows admins to see at- a-glance how many questions have been assigned overall in an assessment.

- Library Enhancement - Summary Panel for Essay Questions
- We added a new summary panel for essay questions, making it easier for KS admins to review the question text whilst manually assigning marks.
